Communications Assistant
We are seeking a highly organized, proactive Communications Assistant to support agency operations, client communications, contractor workflow, and executive-level administrative needs. This part-time, hybrid position includes a mix of remote work, some in-person support, occasional travel, and evening/weekend availability for events or client-related needs.
This role is ideal for someone who enjoys organization, communication, and behind-the-scenes execution in a boutique agency environment.
Client & Communication Support
Assist with daily client communications, follow-ups, and scheduling
Prepare meeting agendas, notes, and follow-up summaries
Track client timelines, deliverables, and approvals
Contractor & Workflow Coordination
Coordinate projects with designers, writers, digital vendors, and media buyers
Track deadlines, deliverables, and shared files
Campaign, Media & Budget Tracking
Track media buying schedules, placements, and budgets
Maintain spreadsheets for campaigns, timelines, and analytics
Executive & Administrative Support
Manage calendar scheduling and meeting coordination
Assist with forms, proposals, and documentation
Organize digital files and internal systems
Travel, Events & Logistics
Book flights, hotels, and ground transportation
Assist with event coordination and registrations
Provide occasional evening/weekend support for events or travel
Client Experience & Gifting
Coordinate welcome gifts and client appreciation packages
Qualifications include:
2–5 years of experience in an administrative, communications, PR, marketing, or agency support role
Highly organized with strong attention to detail
Excellent written and verbal communication skills
Comfortable with Google Workspace, Microsoft Office, and project management tools
Able to manage multiple deadlines independently
Professional, discreet, and proactive
Work Environment
Part-time, hybrid role
Remote work with some in-person support
Occasional local or domestic travel
Evening/weekend availability as needed
